Sending emails directly from Táve 3 is a fantastic new feature that will help streamline your booking and client care process.
We have some email templates set as default for your studio, but it's a great idea to take time to make your own and personalize the emails with your voice and style.
It is very simple to create different emails and set default messages for frequently used tasks, such as sending proposals or reminding a client about an invoice. Here's a short tutorial to show you how easy it is to create and set these emails.
First, click on the Settings button at the top, and find the Quick Responses tab on the left hand side of the page.

This section will show any templates you have already created (I have a few so far), and you can click the blue button for a "New Quick Response."

First, you'll need to select the type of template you are creating so the system knows where to put it. Choose from General Use, Invoicing, Order Receipts, Payment Receipts, Proposal Invitation, Questionnaire Invitation, or Password Reminder. If the email you're creating doesn't fit into one of the pre-named selections, just use General Use. For our purposes today, we are going to be creating a Proposal Invitation.
"Name" should be a quick description of the email you are creating and the "Subject" is what your client will see in their email inbox when the email is sent to them.
Important: You can also select if you would like this to be the Default Template for this type of email and replace the premade template that Táve sends out automatically (so you can put your own wording and finishing touches). For example, if you use the New Lead Wizard to add a proposal and check to email it to the client, the default proposal template will be used there, just as the default payment receipt template is used when a client pays you online. This is your opportunity to design your email templates exactly the way you want them to read when the client receives them.

As these are generalized "form messages", we will use placeholders to add in pertinent information so you do not have to go searching for links or anything else when you send the email. Placeholders are easy to use and we have many that are implemented for your email sending easy. Check out the screen shot below which adds the recipient's first name to the email. You'll see more placeholders in screenshot #5.

Now, you can write your email using your placeholders and wording appropriate to your own voice and brand. Note that I used the placeholders for "Start Direct Link" and "End Direct Link" in order to embed the link to the active Proposal in the text of my email.
If you want to base your template off of our Default Text, you can click the button with the lightning bolt that says "Load Default Text."
Make sure to click the blue "Save" button when you finish.

Now it's time to send the email. Since this is a Proposal Invitation we are going to go to the client's proposal to send the email. Access your client's record and click on the Proposals tab on the left hand side of the page.

Make sure the proposal is published and the status does not say "Draft" or you will not be able to send the proposal. To access the email section, click on the envelope on the right hand side under "Actions" (in the screen shot it is not highlighted, but the section will highlight once you mouseover)
Now you can make any additional personalizations to the template email if necessary, select the recipients, and click the blue Send button to send to your client. So easy!

One thing that might be nice is a way to force lowercase letters for a particular placeholder. For example, I might have a quick response that includes:
I've put together a [Job Type] proposal for you...
And, since the job type is Wedding, it would appear as:
I've put together a Wedding proposal for you...
This is workable, but it would be nice if I could force the job type to appear in lowercase. That way, I can enter my job types properly (with capital letters) while still appearing grammatically correct in my quick responses. If a button with this function could be added to the menu at the top, that would be fantastic. In the meantime, could I go into the HTML editor and just wrap it in a span element with some CSS code?
If I want to create a template that includes a price list attachment (PDF) for initial contact. How do I do this??
From what I can tell, you would need to upload the PDF file and then simply send a link to it in your quick response email. I cannot find a way to send an attachment.
Hey Geoff, have you had any more success with adding an attachment to an email. For the life of me I cant figure it out. I have tried to figure out if there is a way to create a quick response for the body of the email and then attach the PDF manually, still no luck.
Any Ideas?
There is not currently a way to add attachments to an email. You would have to do what Geoff said and link to a PDF file.
Services like Dropbox are GREAT for doing that kind of thing - and Dropbox is free :)

Thanks for the advice, i use dropbox all the time to store our LR Catalogues.
Quick question though, If I want to link to the PDF that I have added to my DBox it asks me for the url how do I find the url for just this file?

Thanks Karen, The issue was with my Dropbox, It had no public folder. Reinstalled it and its working great.
Now that I can sent my emails with price lists from within Tave, there is a smile on my dial.
I do have a quick question. When you create a quick response template is there a way that the subject field created as a part of the quick response is entered as the subject of the email when selecting the template. I know if I make the template the default template for this type of response it inserts the subject. ie If I have numerous quick responses in the GENERAL USE section the subject is only filled in automatically if it is the defaults for that category.

Robert, you're right, the subject doesn't auto fill if you select the template. it's something we are aware of and it's on our to-fix list!
I'm trying to add a link inside a quick response, but when I click on the embed link button OR if I click on the HTML button, I'm presented with a small empty white box. I've tried using Chrome & Firefox on two different computers. Is this a problem for anyone else?
I'm having the same problem as Dujuan. I've also tried Safari, with no luck.
We are aware of this issue and hope to have it fixed asap. By the way guys, it is much easier for us to track problems when you submit as helpdesk tickets rather than as comments to a tutorial. :)
I was about to and got sidetracked. Man this new baby thing is time consuming. I'll have that other request submitted soon, too.
