Creating & Sending Quotes/Proposals

Creating proposals has gotten even more efficient in Táve 3! Take a look at how easy it is. I have made a sample proposal and will show you the exact steps that I took, as well as how it looks to the client when you send them their quotes.

NOTE: If you are looking for a way to send "one-off" quotes to your client, one of their relatives, or an event guest for package add-ons and gallery orders, please read this tutorial instead.

1. Pull up the Job

As you see below, I start on the "Job Overview" page for this particular client, Maya Ziemkowski. Some information has already been added to the job. To create and send a proposal, you'll be working with the "Proposals" section underneath the FINANCIAL heading.

2. Create a Proposal

I have clicked the Proposals tab on the left sidebar and there are currently no proposals for this job.

Click the "New Proposal" button on the top right to create a new proposal. If you've saved any proposals to be used as a template, you'd be able to select one from the dropdown and skip directly to step 10.

3. Complete Proposal Details

First you will fill out the Proposal details. See the example below; this proposal is for wedding photography and I am asking the client to select the quote they would like to book and complete the booking (which may include online payment). You can select a number of days that the quote is active for, until it expires. If you do not set a date, it will expire in 14 days, which is an industry standard. Additionally, if you find yourself offering the same quote or quotes over and over again, you may check the box to create a template which will make life easier in the future, since you will not have to go through all of these steps.

4. Add Recipients

Here is the beginning of your proposal. Pretty straightforward, right? You can add additional recipients (like the groom, MOB, MOG, etc), add your quotes, give the client the option to choose from different payment schedules based on their needs, attach a questionnaire, and attach your contract.  At this time you'll need to have already added the contacts to the job on the Contacts page (the link on the left prior to the Proposals link).

5. Create a Quote

I selected to add a quote and this is the screen that comes up. You still have the option to manually accept/book a quote as you'll see in the first button on top, but you can, as always, send the quote to the client so they can select and approve it on their own (pro tip: if you're skipping the proposal phase, just go to the Orders tab on the left and click "New Order" to go directly to booking). If you selected a quote template, the new quote will be a pre-configured quote based on the template you used.

Type in a description for the client to see, and don't forget to set this quote to be used as a template if you frequently find yourself creating this type of quote. As you'll see below I have added a predesigned package. Additionally, the quote shows how much of a discount you are giving for your packages and you can adjust that discount if you want. In T3 settings you can also choose to have the package discount information be invisible to the client's view so they do not see that number.

6. Modify Packages (if desired)

As a new feature of T3, you can VERY easily break down the package if you need to change quantity, pricing, or other details. Check it out below.

7. Add Additional Quotes (if desired)

Now I am adding another quote to this proposal for a smaller amount of coverage.

8. Add your Contract and Amendments

Next I configured the Contract associated with this proposal. There are updated contract features such as additional signatures that can be customized per job rather than per contract. T3 shows you a preview of the different quotes and how the contract will look to the client (showing the amount of each quote, etc).

9. Publish Your Proposal

Check out the Proposal overview below. There are now 2 different quotes for the client to choose from, I have chosen from my previously designed Payment Schedules and added the one I typically use, and I have also added a contract. I didn't have a questionnaire in use at the time these screen shots were taken so I did not add it to the Proposal, but obviously if you create your questionnaire, you can add it if you'd like.

In order to "activate" the Proposal so that you can send it to the client, simply click the PUBLISH button inside the Proposal Details (white box), and if you'd like to revert back to a Draft so that you can make additional changes, you can click MAKE DRAFT. This proposal has been activated so you can see what the screen looks like.

The next step is sending it to your client, which you can do by clicking the "Email Proposal" button at the top of your screen to email all recipients at once. To only email one, click the mail icon on the right side of that recipient's details. You can also view the link yourself by clicking the external link icon next to the mail icon.

10. Email the Proposal

Now I'm going to send this to my client. This is what the Compose Mail screen looks like. It is simple and straightforward. You can change the email subject, select the recipient(s) and edit the text of the email. There are lots of placeholders (the blue boxes that have predefined information) available if you need to change any of the information in the message. You can either delete, save a draft, or send the email to the client using the appropriate buttons on the right hand side.

The recipient list includes everybody attached to the job. If you select somebody that isn't already a recipient of the proposal, they'll be added automatically.

11. Client Access - Quotes

Now we'll see how it looks when the client receives their email and accesses your Proposal. All of the information that you input in the first few steps is shown below and it is all very clear and concise for the client who is viewing the screen.

As you can see, you can also update the design of your page using the settings in T3. My page design matches the branding on my web site.

12. Client Access - Selecting a Payment Schedule

After selecting the quote they would like to book (in this case, the bigger package - yay!), the client is prompted to select a payment schedule if multiple schedules are made available. It shows the different payment schedules and how much the client will need to pay you on the appropriate dates.

This step is skipped if you didn't add multiple schedules options to the proposal.

13. Client Access - Contract Signature

Your client's next step if you didn't add a questionnaire (which would have appeared before the contract) is to approve your contract(s).

One notable improvement in Contracts is a separate initial box with designations for each person that will initial and sign. This is extremely clear and will make the process less confusing for the client to finish completing the contract. The signature labels you added to the proposal will be used for the initials too.

15. Client Access - Online Payment

Next, they may choose a payment method. If you have multiple payment methods available, it will bring the client to a page that looks like this. Most of my clients pay with Google Checkout (clicking the button will take them to a payment page), but occasionally, I have a client who prefers to pay with a check. It is now easier to set up the option to pay "offline" as well. If the client chooses to pay with a check, it will take them to a page that shows your address as displayed in your T3 settings, so they can mail a check to your studio.

Great. Now what happens if I don't really do weddings so I don't have a proposal really but still want my client to have access to the contracts and questionaires? How does one go about doing that?

Tina, just make your proposal for a portrait session instead of a wedding. You can put whatever you want into the quote section... like a creative fee, prints package, etc. Likewise if you do commercial work, you would input your quote(s) for that type of shoot as well.

You can create quote templates for types of shoots you do often, so if your standard Lifestyle Session is simply a creative fee, then create that quote, and check the button where it says "Yes, this quote is a template" -- it will then move into the quote templates drop down so you can quick-add it without having to recreate it every time you put together a quote for a portrait shoot.

Well here's the thing. I don't have online payment - I do run credit cards through the machine at the studio but not online. So I don't need them to go into a proposal, choose one or pay online. The only thing I need is to send something for them to sign the contract. So I should make a proposal for a single session and make my "proposal" email go out at a "sign my contract" email?   I have to admit I'm VERY confused with T3. I'm wishing I would have waited for a few tutorials and help before I jumped on it. I have things all messed up now within it.

Hey Tina, even if you don't do online payment, this is how your client will the contract. They still will need to accept their quote in order to move to the contract. They are connected in that way rather than being separate entitles. Creating a proposal template or a quote template would be the quick way to do this, if you consistently offer the same session type and contract to your clients for each session. We don't require payment to be taken online, so you don't have to use that feature.

So even though I've already spoken with client on phone and received their payment I have to create a proposal with a quote and attach a contract to it and email it. They will then approve it (again LOL) and then sign?   I feel like such an idiot with this. I thought it would be so much easier but it seems like there are more steps involved to do something simple like book a session. Working hard to figure it out before next week when I get busy again. Hoping nobody calls to book tomorrow LOL!

We didn't anticipate that use case in T3 proposal because it wasn't intended to work that way in T2, so we didn't realize that not only was it usable that way but a number of studios were doing so. As several users have requested it as well, it's on our backlog to implement that behavior in T3.

Right now only questionnaires and invoices can be direct linked without a proposal, that will change though as we have several tasks relating to this sort of interaction with clients on the backlog.

Tina, is this for an existing client?   The New Lead Worksheet should let you do most of this on a single page (as part of the purpose of that was to handle an over the phone booking)... entering the session and job details, contact info, recording a payment, and even booking an order right there. Yes you _could_ have it email a proposal for approval but definitely don't need to (if it's a proposal being added, there's a checkbox for emailing it).

Really I think the issue is the earlier one, where you're looking for the client's to have some of the steps but not the quote selection step, which is currently required.  You could book the job with the new lead wizard and add a questionnaire separately and send them that.  If you need them to sign a contract online though there isn't a way to do that in T3 without the quote approval step, but we understand that some users would like that.

I went back to the new lead and now see where I can input orders and payments as I type. Missed that the first time. That is good to know. But I'm assuming I'll still have to have a "proposal" somehow to send to the client to get the contract signed. Which I can work around ok. I tried it on a client and sent it to me vs her. Clicked - approved the quote and then the screen went blank. It did not progress to anything for me to sign And a contract was added. I had the order as "paid" already.

I am having issues with this too.  I have clients that have already told me they want to book or want to add things to their job...I want to just be able to send them the invoice without having to do the contract/approval.  This seems like so many extra steps.

Hi Kristen, if you're looking to add to the order - say a client wants to add on extra time or an album or something, you can just go to the job, then the orders tab on the left, and create a new order. When you save it, it will leave the invoice open and you can either email it or use the little box with the arrow icon (next to the envelope icon) to grab the URL for the payment and send it to them manually.

My problem is that sometimes the mother of the groom wants to buy something.  I don't have a contract with her (and don't need one) but in order to invoice one item, it looks like i have to do the whole proposal thing.  I would like the mother listed as a separate client and don't necessarily need it linked to the same job--but I need it to be listed as two clients and not one to protect the $$$ info of the main client.

Hi Kristen, the way I explained it is how you do it when you just need to add a one-off order. You do not need to create a new proposal for a parent order. In T3 it will NOT show the entire payment history when they go to pay their invoice like it did in T2. That is one of the biggest benefits of T3.  I will write a tutorial so you can see.

Hi!  I have a question about adding a quote to a currently booked proposal.  My client has already booked her wedding and made two payments.  Now she'd like to add a second photographer onto the current package, and I'd like to add that to her payment schedule all in one place with one link, so I don't have to send her two separate links for payment.  I can't figure out how to do that.  Is it possible?

i have a question about sending mulitiple invoices out from same proposal. Say if I have a several people I want to bill for an all day event, and I want the terms to be set so I receive a deposit now, and balance later, it only splits the first person I invoice then all other invoices are for the full amount. am I doing something wrong. I can't figure out how to send to all 8 people and have two invoices, one for deposit and other for balance. It seems to only spit for the first person I bill.

Howdy. Can I use Tave to publish a "public" quote? I'm offering classes to other photographers, and - rather than use a PayPal button, I'd like to point many photographers - potential customers - to a public quote, that each client can complete separately. In other words, I'm trying to avoid creating as many quotes as there are potential clients, trying to create one quote that can be accessed and completed / paid multiple times by different people. Es posible? Thank you :-)

Is there a way for clients to see the date or time you have their shoot scheduled for in the actual proposal you send them? After sending proposals I keep getting clients emailing me regarding this, which adds to my workflow throughout the day. It would also be nice if they could select time or date options there as well.
